How to Migrate/Import Email from Remote Server to Quickpost?

To migrate your email service (such as Webmail, Gmail, Outlook, Zoho, etc.) to Quickpost, follow these prerequisites and steps:

Prerequisites:

  1. Total Number of Email IDs:

    • Identify the total number of email IDs currently in use in your existing email service.
  2. Disk Quota Usage:

    • Note the amount of disk space occupied by each email ID.
  3. Login Details:

    • Ensure you have the login details (email IDs and passwords) for all email accounts.
  4. Create Email Accounts in Quickpost:

    • Create the necessary email accounts in Quickpost using the provided link: How to create new user in quickpost

    • Ensure that the disk quota allocated in Quickpost is greater than or equal to the current disk quota for each email account.
  5. DNS Records Setup:

    • Update the necessary DNS records related to email, such as MX, SPF, DKIM, and DMARC.
    • Note that once DNS records are updated, emails will start being received in Quickpost.
  6. DNS Records to Add:

Migration Steps:

Access your Quickpost administrative interface by visiting the Quickpost.app. Please ensure that you have created user accounts on Quickpost for each user whose emails you want to migrate from the Remote Server and updated the required DNS records to Quickpost  This is essential for mapping the imported data to the correct users.

Log in to the Quickpost:

  • Use the email account credentials that you intend to import the email data to.
  • Open a web browser and navigate to the SmarterMail webmail login page.
  • Enter your email address and password to log in.

Initiate Migration:

  • Once logged in, navigate to the Settings menu.
  • Within the Settings menu, click on “Connectivity.” This section is where you can configure various connectivity options, including email migration.
  • Look for the “Migrate” button and click on it to start the migration process.

Select Source Email Server Type:

  • A “Mailbox Migration” box will appear, prompting you to select the source email server type. Choose the email server type that corresponds to your previous/current email server.

In this guide, we'll use the IMAP/POP3 protocol, which is supported on most email servers.


If your server type is not listed, select “Other

For IMAP, input the following details:

  • Server Address: Enter the old email server's name or IP address.
  • IMAP Port: Use 143 for non-SSL or 993 for SSL.
  • Email Username: Provide the username for the email account on the old server.
  • Password: Enter the password associated with the email account.

 

Start the Migration:

  • After filling in the necessary details, click on the “Start” button to initiate the email data import.
  • The “Mailbox Migration” box will display the import status once the process begins.

Monitor Progress:

  • The migration process may take some time, depending on the volume of data being transferred. Monitor the progress within the “Mailbox Migration” box.

Migration Completion:

  • Once the email data import is completed, the “Migrate” button will reappear in the “Mailbox Migration” box. Additionally, you will receive an email from the system administrator titled "Migration Summary."
